This Privacy Statement explains how Cloutch LLC, which operates the Repatch service (“Repatch,” “we”), collects, uses, and shares information when you use the Service, and how we handle the call data of people who contact your business through it.

1. Information we collect

We collect the account information you provide (such as your name, email, business details, and phone configuration), billing information processed by our payment provider, and technical data such as logs and device information. When the Service answers calls, we collect call audio, transcripts, caller phone numbers, and the metadata needed to triage and book appointments.

2. How we use information

We use information to operate and improve the Service, answer and route calls, book appointments, send confirmations by text, prevent abuse, bill for usage, and provide support. We process call data on your behalf to deliver the receptionist functionality you configure.

3. Call recording and consent

The Service provides spoken AI and recording disclosures at the start of calls. You are responsible for configuring the Service in compliance with the recording-consent laws that apply to your business and your callers. Callers may opt out of SMS messaging at any time by replying STOP.

4. Text messaging (SMS)

If a business enables text messaging, the Service sends transactional SMS to the callers who contact that business — such as appointment confirmations, reschedule and cancellation notices, requested information, and missed-call follow-ups. Callers provide their mobile number and consent to receive these texts during their call to the business. Message frequency varies based on call activity, and message and data rates may apply. Recipients can reply STOP to any message to unsubscribe at any time, or HELP for assistance.

Mobile information and SMS consent are never shared with or sold to third parties or affiliates for marketing or promotional purposes. We share mobile numbers only with the telephony providers strictly necessary to deliver the messages that have been requested. Text messaging originator opt-in data and consent are not shared with any third parties.

5. How we share information

We share information with service providers who help us operate the Service — including telephony carriers, real-time voice and speech providers, cloud hosting, and payment processors — under contracts that limit their use of the data to operating the Service on our behalf. We may disclose information where required by law. We do not sell personal information, and we never sell or share SMS opt-in or consent data with third parties for their own marketing.

6. Data retention

We retain account and call data for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your data as described below.

7. Security

We use technical and organizational measures designed to protect information against unauthorized access, loss, or misuse. No system is perfectly secure, and we cannot guarantee absolute security.

8. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information. To exercise these rights, contact us at the address below. You can also manage much of your data directly in the dashboard.

9. Changes to this statement

We may update this Privacy Statement from time to time. If we make material changes, we will notify you through the Service or by email.
